Owners and members, custom roles and permissions, invitations, and staffing briefs.

An agency on Matchii is a roster of logins. This page is how the roster works.

Owners and members

Every person on the roster is an owner or a member. Owners run the agency: they invite and remove people, submit the agency for review, decide change requests, and request payouts. An agency always keeps at least one owner; the last one cannot be removed.

Members can do everything a working member needs by default: read and post in the agency’s chat and rooms, upload there, read and run the agency’s assistants and workflows, and see usage. What members cannot do by default: manage the roster or roles, read sensitive documents, manage subscriptions or rooms, edit workflows, see internal cost figures, or view and export dispute records.

Each person also carries a job title from a short list, developer, web designer or manager, which Matchii uses when pricing staffing, and a free-text display title for how they appear.

Custom roles

An owner can define roles beyond the two built in: a named role that grants specific permissions to specific people. A project lead can be given the right to manage rooms and read cost figures without being made an owner. Roles belong to your agency and can never be granted across agencies. The permissions are a fixed vocabulary; the role picks from it.

Inviting people

An owner invites a colleague by email from Team. The invitation carries a link that expires, and the colleague’s login is created only when they accept, after proving the mailbox is theirs with a code. Nobody gets an account they did not ask for. An owner can revoke an invitation that has not been accepted.

Removing people

An owner removes a member from Team. Their custom roles go with them. Assignments they held on briefs are not removed automatically, so reassign their work items first if the brief is still open.

Staffing a brief

On a won brief you can assign members to work items with allocated hours, and each member’s profile can carry capabilities, a seniority band and available hours per week. This is for your own planning and for Matchii’s pricing of future work; the client sees the delivery board, not the staffing behind it. See Delivering work.

What you are told, and how

  • New offers reach you by email and in the portal, with a digest for anything you have not opened.
  • Plan changes, submissions and client decisions show live in the portal while it is open. There is no email for them.
  • Invitations and the application steps reach the person concerned by email.
